Built for teams that run meetings at scale
Logo placeholders — CallShark is pre-launch and does not yet have customers to name.
The problem
Event meetings break down in predictable ways
Every team that schedules meetings at conferences runs into the same six failures. CallShark is being built to remove each one.
Requests scattered across inboxes
Meeting requests arrive by email, chat, and spreadsheet. Nobody has one reliable list, and something always slips.
The wrong expert in the room
Attendees get whoever happens to be free instead of the person who can actually answer their question.
Double-booked people and rooms
Two teams promise the same slot in the same room, and somebody ends up holding a strategic conversation in a hallway.
A week of manual coordination
The days before an event disappear into rescheduling threads instead of preparation.
Changes nobody hears about
Flights slip and sessions overrun. When a time moves, the update rarely reaches everyone who needed it.
No record of what came out of it
The event ends and there is no shared view of who was met, what was discussed, or what happens next.
Why CallShark
Coordination handled, so your team can focus on the conversation
Conference scheduling should not consume the week before the show. These are the outcomes the platform is designed around.
One source of truth
Every request, confirmation, and change lives in a single schedule your whole team can see.
The right expert, matched automatically
Attendees describe what they need. CallShark routes them to the person qualified to answer.
Conflict-free by design
People, rooms, and time are checked together, so a slot cannot be promised twice.
Far less coordination work
Confirmations, reminders, and reschedules are handled for you instead of by hand.
A booking experience worth sharing
Give attendees a clear, branded way to request time that reflects how your company works.
Results you can actually report
See which accounts you met, which topics came up, and how the programme performed.

How it works
From open calendar to booked meeting in four steps
Meeting automation software should remove coordination work, not add another tool to manage. This is the whole loop.
- 01
Create availability
Team members define their dates, hours, locations, expertise, and meeting preferences.
- 02
Invite attendees
Share a branded booking experience where attendees select their meeting requirements.
- 03
Automatically schedule meetings
CallShark matches attendees with the appropriate expert, room, and time.
- 04
Track results
Review meeting activity and performance from one place.
Solutions
Built for the teams who live in the calendar
The same scheduling engine, shaped around how each team actually works.

Attendees book in a few taps
A branded booking flow that collects what the attendee wants to discuss, then offers only the slots where a matching expert and room are genuinely free.

Designed to sit alongside the calendar you already use
CallShark is being built to read availability from your existing calendar and write confirmed meetings straight back to it. None of these connections are live yet.
- Read team availability without duplicate calendars
- Write confirmed meetings back with room and attendee details
- Keep reschedules in sync in both directions
Google Calendar
Read availability and write confirmed meetings back to the calendar.
Microsoft Outlook
Keep Outlook the system of record while CallShark handles coordination.
Microsoft 365
Connect organisation-wide calendars, rooms, and directory information.
Illustrative
What a well-run meeting programme can look like
The figures below describe the outcomes CallShark is designed to produce. They are illustrative targets used to explain the product — not measured customer results.
3×
more meetings per expert
when availability, matching, and rooms are coordinated in one place instead of by email.
0
double-booked rooms
because people, space, and time are validated together before a slot is confirmed.
Hours
of coordination removed
per event, by automating confirmations, reminders, and reschedule notifications.

Example scenarios
The problems teams describe to us
CallShark has not launched, so we have no customer quotes to share. These are illustrative examples written by our team to show the situations the product is designed for.
“Our field team runs four conferences a year. The scheduling itself used to take longer than preparing for the meetings — that is the job we want a platform to take over.”
“The meeting we regret is the one where the customer asked a security question and nobody in the room could answer it. Matching on expertise is the part that matters most to us.”
“After every event we are asked what came out of it. We want that answer to come from the schedule itself, not from three people rebuilding a spreadsheet.”

FAQ
Questions we hear most often
Straight answers about what CallShark is, how it compares, and where the product stands today.
CallShark is a B2B meeting scheduling and event appointment management platform. It helps companies schedule meetings at conferences and events, lets customers book time with the right sales representative or expert, manages team and meeting-room availability, prevents double bookings, and tracks what came out of each meeting. The product is temporarily down.
Calendly is excellent at what it focuses on: sharing your individual availability so someone can book time with you. CallShark is built around a different problem — coordinating many experts, many rooms, and many attendees inside a fixed window such as a conference. That means expert matching, room inventory, approval steps, and event-level reporting sit at the centre of the product rather than at the edges.
Jifflenow is an established platform in event meeting automation and a serious product in this category. CallShark is a newer entrant being built with a focus on fast setup and a booking experience that feels straightforward for both attendees and internal teams. We would encourage anyone evaluating this category to compare options directly against their own requirements.
Google Calendar, Microsoft Outlook, and Microsoft 365 are the first integrations planned. None of them are available yet, and no calendar connection exists in this preview.
Yes — that is the core use case the product is being designed around. The goal is to handle an entire event meeting programme: inbound requests from attendees, outbound invitations from your team, expert matching, room assignment, confirmations and reminders, and reporting once the event closes.
That is the direction we are building toward, including approval workflows, role-based permissions, multi-team coordination, and administrative controls. Because CallShark is pre-launch, we would rather talk through your specific requirements than claim readiness in the abstract — request a demo and we will be straightforward about what exists today.
Yes. Attendees describe what they want to discuss when they request a meeting, and CallShark is designed to route that request to a team member whose expertise, seniority, language, and availability fit the requirement — rather than simply to whoever has an open slot.
We have not announced a general availability date. This website is a preview of the product we are building. If you would like to be part of early access conversations, request a demo and we will keep you informed as things progress.
